Step Mapping

After mapping a workflow to a pipeline, you can customize exactly which workflow steps correspond to which pipeline stages.

  1. Go to the Workflows page and switch to the Mapped tab.
  2. Click the workflow name to expand the row.
  3. The step mapping editor will appear, showing each Planning Center workflow step with a dropdown to select the corresponding MinistryFlow pipeline stage.

Each row shows:

  • Planning Center step — The step name from the workflow (read-only).
  • MinistryFlow stage — A dropdown listing all stages in the mapped pipeline, sorted by position. Select the stage this step should map to, or choose “Unmapped” to skip it.

After making your changes, click Save to apply the new mapping.

  • Mapped steps — When a card moves to a mapped step, the corresponding opportunity moves to the mapped stage (and vice versa).
  • Unmapped steps — If a card moves to a step that is not mapped to any stage, the opportunity will be moved to the first stage in the pipeline as a fallback.
  • If your workflow and pipeline have the same number of steps/stages in the same order, the auto-mapping will likely be correct out of the box.
  • If your pipeline has fewer stages than the workflow has steps, you can map multiple steps to the same stage.
  • You can change the mapping at any time. Changes apply to future sync events — previously synced cards and opportunities are not retroactively moved.
