Mapping a Workflow

To start syncing a workflow, you need to map it to a MinistryFlow pipeline. This tells MinistryFlow which pipeline should mirror the workflow’s cards.

Both Planning Center and MinistryFlow must be connected.

  1. Navigate to the Workflows page in MinistryFlow.
  2. Click the Add tab.
  3. Search for the Planning Center workflow you want to map. Results appear as you type.
  4. Optionally, click a workflow to expand it and preview its steps.
  5. Click Select Workflow on the one you want to map.
  6. A pipeline selector will appear. Choose the MinistryFlow pipeline this workflow should map to.
  7. An auto-mapping preview will show how workflow steps will be paired with pipeline stages (matched by position order).
  8. Click Map to create the mapping.

When you map a workflow to a pipeline, MinistryFlow automatically pairs steps to stages by their position:

  • Step 1 maps to Stage 1
  • Step 2 maps to Stage 2
  • And so on…

If the workflow has more steps than the pipeline has stages (or vice versa), only the overlapping positions are mapped. You can customize the mapping after creation.

Once mapped, the workflow appears in the Mapped tab. From there you can:

  • Click the workflow name to expand and edit the step mapping
  • See the sync status and event count
  • Delete the mapping if it is no longer needed

Changes in either system will begin syncing immediately through webhooks.
