Managing Synced Lists

Once you have lists synced, you can manage them from the Synced tab on the Lists page.

Each synced list shows:

Click the refresh icon button on any list row to trigger a new sync. This will:

  1. Fetch the current members of the Planning Center list.
  2. Add tags to any new members.
  3. Remove tags from contacts no longer on the list.
  4. Update the people and skipped counts.

A progress bar will appear while the sync runs.

Click the toggle button on a list row to disable it. Disabling a list stops future syncs but does not remove the tag from contacts that were already synced. To re-enable, click the toggle again.

Contacts can be skipped during sync for these reasons:

  • Underage — The person’s age is below your minimum age setting. Skipped to comply with data privacy requirements.
  • No contact info — The person has no email address or phone number, so they cannot be matched to a MinistryFlow contact.

Click the skipped count on any list to open a dialog showing each skipped contact and the reason they were skipped.

If a sync fails, the status column will show “error.” Common causes include:

  • An expired Planning Center or MinistryFlow connection — check for a reconnect banner on the Integrations page.
  • Temporary API issues — try refreshing the list again after a few minutes.
